Τhe Voluntary Organization for Children “The Smile of the Child” is looking for the ideal candidate to fill in the position of Executive Secretary in Athens.
Main duties and responsibilities
- Prepare correspondence and compile data for reports, meetings, events and presentations.
- Perform daily communication with the Chairman’s contacts, projecting a professional image through in-person and phone interaction.
- Coordinate and maintain Chairman’s calendar.
- Liaise with governmental, VIP, media and international contacts and compile the Chairman’s daily correspondence.
- Arrange with international travel, hotel bookings and itinerary and related accommodation for international visitors.
- Coordinate meetings and conferences in collaboration with the relevant departments.
- Compile and prepare all necessary documentations/material required for the Chairman’s internal and external meetings in cooperation with relevant departments.
- Participation in internal and external meetings and follow-up on pending matters resulting from those, in cooperation with relevant departments.
- Capability in setting priorities.
- Perform general office duties (faxing, mailing, and filing).
- Keeping hard copy and electronic filing data.
- Assistance in events of the organization.
- Other office management duties as assigned.
Knowledge and skills requirements
- A minimum of 3-5 years of executive secretarial experience is a prerequisite.
- Excellent written and spoken language and communication skills in English and Greek are mandatory.
- Good organizational and communication skills.
- Integrity and confidentiality.
- Strong computer literacy, including Microsoft Office Packages.
- Flexibility in schedule and ability to work with tight deadlines.
