Background:

The International Rescue Committee (IRC) responds to the world’s worst humanitarian crises and helps people to survive and rebuild their lives. Founded in 1933, the IRC offers lifesaving care and life-changing assistance to refugees forced to flee from war or disaster. At work today in over 40 countries, the IRC aims to restore safety, dignity and hope to millions who are uprooted and struggling to endure.

In response to the influx of refugees in Greece, the IRC Hellas started operations in Greece in June 2015 and currently runs operations out of four offices in Athens, Mytilini, Vathy (Samos) and Chios. IRC is implementing programs in the sectors of Mental Health, Child Protection, Gender Based Violence prevention and response, Water and Sanitation, Shelter and Site Management Support, Emergency and COVID-19 preparedness and response and Economic Recovery & Development.

Scope of work:

The Administration Assistant is responsiblefor supporting the delivery of efficient and effective administrative support to the IRC Athens office.

Responsibilities:

General Administration Responsibilities:

  • Greet and direct visitors to departments;
  • Maintain and regularly update visiting staff schedule;
  • Be responsible on informing visitors and staff regarding COVID 19 office regulations
  • Maintain an accurate record of staff and visitors;
  • Scanning and filling for operational departments as requested.
  • Identify and receive requests for any needed repairs and/or supplies on office and refer to SC department for action, when necessary;
  • Maintain inventory records for office supplies (stationary, cleaning and kitchen supplies, toners etc.) and promptly advise SC department of restocking needs
  • Ensure all office equipment is stocked with required supplies (toner, paper etc.). Refer any maintenance required to IT Officer and SC department
  • Help maintain office in a good shape

Others:

  • Submit all deliveries of mails and ensure timely distribution to recipients
  • Perform all other ad-hoc duties, as and when assigned by supervisors

Requirements:

  • At least 1-year experience in similar position, preferably with an INGO, or multi-sector humanitarian relief or development projects.
  • Good written and verbal communication skills, strong interpersonal skills.
  • Self-motivated, honest, highly responsible, and punctual.
  • Ability to work both; independently and as part of a team.
